
Company Overview:
The Deane Center for the Performing Arts is a 501(c)(3) organization that promotes the arts and community through programming and the rental of its facilities.
Event Planning and Management:
-
Oversee the set-up, execution, and cleanup of events, including finalizing catering menus, meeting room specifications, and amenities.

Oversee layout, flow, and decor of the space for attendee safety concerns.

Maintain building security by opening and closing buildings during off-hour events.

Provides detailed communication and timely follow-through with both the patron and the in-house staff to ensure exact patron requirements are met and satisfied

Effectively communicates with Executive Director and Facilities Manager regarding group functions and special events keeping both departments aware of any special needs or contract changes well in advance of the function.

Attending and monitoring activities to ensure partner and patron satisfaction
-
Prepare, process, and review contract payments and post-event invoices in coordination with the Executive Director.

Develop and maintain vendor information including lighting, A/V, caterers, stylists, equipment rental, photography, heat, seating, tents, toilets, etc.

For recurring events, recommend revisions to the event plan for future versions as appropriate

Maintain master event files and documentation to aid in planning and executing future events

Other duties as assigned.
General Responsibilities:
-
Manage the Front Reception Desk and all daily tasks associated, including managing the main phone line, greeting visitors, routing telephone communications, providing information, and monitoring the building security cameras.

Sort/distribute/organize mail, packages, and office supplies.

Maintain digital meeting and room reservations requests (Google Calendar).
-
Perform accurate opening and closing procedures for the building as directed.

Take orders for tickets over the phone and in person, and process credit card payments.

Provide information on venue rentals to prospective patrons.
Qualifications:
-
The strongest candidates will have experience in planning events of all varieties, particularly for an arts-based or non-profit organization.

A high school diploma is required.
-
The ability to interact with executive-level administrators, government officials, donors/prospects, creatives, and development staff with an understanding of protocol and confidentiality is required.

The ability to work evenings and weekends is required.
-
Satisfactory background clearances required, which can be conducted at the time of hire.

A warm and engaging interpersonal demeanor and a pleasant community service-focused attitude are essential.

Excellent computer skills and experience troubleshooting with a variety of technology and software including Google Suite, and Microsoft Office Suite (Word, Excel, Outlook,).

Outstanding communication skills including friendliness, active listening, empathy, and confidence.

Strong interpersonal skills including tact, patience, and flexibility, as well as the ability to give and receive feedback.

Ability to maintain confidentiality when dealing with sensitive and proprietary information

Hours & Compensation:
-
Approximately 10-12 hours per week. The schedule will vary to meet business needs.

Hourly rate of $15.25 per hour
